A cloud based document library solves this: every relevant document of the building, the founding deed, the bylaws, minutes and resolutions, annual reports and active contracts, is stored on a digital surface where the owner can log in and access them any time, even at night.
The legal basis is that every co-owner has a statutory right to inspect documents concerning the common affairs of the building. The cloud solution does not extend this right, it only makes exercising it easier.
In practice the system organises documents into structured folders by year, case type or topic, and offers search, so a given document is found in seconds instead of leafing through a paper archive for hours.
An important security aspect: not every document is equally public. Owners see their own data, such as payment history, only themselves, while documents concerning the whole building are available to all, with the system managing access levels accordingly.
A digital archive is also a safety backup: a paper archive can be destroyed irreparably by fire or water damage, while a cloud stored document remains available regardless.
